Manually Importing API work Orders

The Mixmate system always tries to automatically import Work Orders from your connected APIs, but manual intervention is required if the incoming order is missing essential information (such as total volume, application rates, or specific product details) required by the Mixmate system — the import is paused until that's resolved.

Manual imports can only be performed via the Web App (app.mixmate.com).

  • Navigate to the Admin Tab in the bottom navigation.

  • The "Unimported Work Orders" card will display the number of orders currently "held" for review. Click this card to begin.

When you open an order, each of its products is matched to a product you already have, so the Work Order uses your existing product instead of creating a duplicate. A product matches if it's the same product the API sent before, has the same external identifiers, or has the same name.

  • Archived products are restored automatically. If the matching product has been archived, Mixmate restores it and uses it. You don't need to unarchive it yourself.

  • Products with no match are new, and are created when you approve them.

Each pending order is displayed as a card: the Work Order at the top, then each of its products. If an order was blocked from automatic import, it is because the system requires more information to proceed.

  • The Red "X": Look for this symbol on the Work Order or a product. It indicates that Mixmate doesn't have all the required information to successfully import it.

  • The Green Check: The item has everything it needs and is ready to approve.

Fix the products first. Click a product with a red "X". The product form opens: fill in the missing information and click Save. You're returned to the order, which refreshes with your changes, and the product now shows a green check. The Work Order can't be approved until all of its products exist; if you try, Mixmate shows "One or more products have not been created. Please resolve before proceeding."

Then fix the Work Order. Click the Work Order at the top if it shows a red "X". The Work Order form opens: fill in what's missing (for example, the total volume or application rates) and click Save. Saving the Work Order imports it: it's taken off the Unimported Work Orders list right away.

Even when everything has a green check, you have the option to modify it before it hits the tablet. Click a product or the Work Order to see:

  • Approve: imports it as it is. Approving the Work Order imports it and takes it off the Unimported Work Orders list.

  • Edit: opens the product form or Work Order form first, to change target rates, totals, or field assignments. Saving the Work Order form imports it, as above.

  • Cancel: leaves it as it is, for now.

Sync Logic: The Work Order will import immediately to your cloud account once approved. It will be available on the Mixmate App (tablet) after that specific device performs a sync to the cloud.
